Define the occupied areas
Identify affected suites, shared systems and routes used by staff or customers. Establish a point of contact who can approve access and changes. Ask how the contractor will protect adjacent areas and communicate temporary restrictions.
Document decisions and handover
Agree on the responsibilities of the owner, tenant, facility manager and contractors. Keep assessment findings, approved scopes and completion records in the property file. Repairs affecting HVAC or shared walls should be coordinated before normal use resumes.
Coordinate with the people using the space
Identify whether the affected area is occupied, leased or connected to other suites. Give the provider relevant access hours and the contact responsible for building systems. Ask how work boundaries and any temporary restrictions will be communicated without promising that operations can continue unchanged.
Define the documentation package
Discuss the records the owner or facility manager needs at handover, including scope changes, photographs, source repairs and completion findings. If reopening depends on a specific assessment or approval, identify who supplies it at the outset. An invoice alone may not answer the facility’s operational questions.
